Why Google Workspace?
Everyone knows Google has the most popular search engine but they also have a suite of products that allow small and mid size businesses operate on a bigger platform. Google offers free accounts with many of the same benefits as the paid versions they offer for businesses but also have some big advantages with the paid plans that many people are not aware. Below are a few examples.
Gmail Accounts with your domain name - we have all seen this from a small business or individual seller when they list their email as johnacompany@gmail.com and while this does not mean they are not legitimate, it is a sign of a single person operation or at least a red flag that this possibly a scam. Paid Workspace accounts that include Gmail will allow emails and/or Groups to be created for your domain name even if they are not purchased from Google such as yourname@yourcompany.com
Google Meet - as we all know the last year has forced many businesses to operate with remote workers and as many employees and employers have embraced video meetings from home Google has completely revamped the tools inside of their video meeting solution. Now you can utilize digital whiteboards, documents, task assignment, voice, and chat as a collaboration from all team members to be as productive as possible in these online meetings.
Google Appsheet - a completed customized phone, tablet, and web app for your company. Information can be retrieved from many different databases such as SQL, Google Sheets, MS Excel, etc. and customized to enter, update, or automate information from any device that has an internet connection.
Google Voice - if you are still giving out your cell phone number as the primary contact and are tired of getting calls outside of your normal business hours then Google Voice is a great solution. Google Voice integrates with your Google Calendar so you can set business hours and set "Do Not Disturb" hours to route to voicemail. If you decide to move up to the Business Plan then you can set rules and numbers for different departments, customize your announcements and greetings, and many more features. This plan is not included with Google Voice but is very reasonable priced per user and can be quickly and easily modified to fit your business needs.
Google Classroom - not just for educators anymore. We can use Google Classrooms to completely digitize and automate your new employees during on-boarding, continuing education, standard operational platform (SOP) training, or anything else you find yourself having to teach over and over again. Quizzes and tests after each section to ensure the employee has actually retains and understands the material are also a good idea.
Google Groups/Chat/Gmail - once your organization is set up and employees are assigned to Groups then a single email address can be used to communicate with an entire group (such as sales or billing) or to the entire company without worrying about leaving someone out. A shared company directory will allow team members to chat directly inside their Gmail phone app, tablet, laptop, etc. and that information will be available on all devices and searchable for that individual.
Google Calendar - it is a calendar so there is nothing exciting about that right? WRONG - Google Calendar is integrated with other Workspace Apps such as Tasks, Docs, Maps, etc. and also allows shares between Groups or individuals inside or outside your organization for deadlines, Google Meetings (or other online or in person meetings), and so much more. Calendar can also be customized to allow customers or employees to schedule from your website or intranet site (internal employee website).
Google Sites - free websites with a simple interface with access control built right in. Everyone has a website these days and not having even a basic site for information is a big red flag for a company. Sites can be set up publish to a normal URL such as this one. We can build with other platforms but we primarily focus on building responsive and informational sites with this tool. This is a great way to build an information portal (i.e. service portal) or employee Intranet (an internal website only accessible by company email credentials) to help communications between departments, self service tools, process guides/videos etc. to employees or remote workers. Access can be completely open or locked to certain Groups or even individual emails.
Google Data Studio - a reporting tool that has some pre-designed reports for websites, You Tube traffic, etc. can be attached to SQL or even Google Sheets/Forms for reporting. Reports can be created as dashboards with default metrics, date ranges (i.e. Month to Date or Year to Date), etc. and/or customized with filters to allow drill downs on specifics to identify KPIs (key performance indicators) to make data driven decisions.
Custom Add-ons - if there is something you can't do with a core Google product you can be there is an Add-on that addresses that short coming. Add-ons can do everything from automating emails from a Google Form to updating your Calendar from a Sheet.
